The Project Coordinator is responsible for supporting a wide range of departmental projects and operational needs. This role oversees project timelines, budgets, and deliverables, acting as a key liaison between department leadership, vendors, and other department employees. The coordinator also manages quartermaster functions, including procurement, inventory, and lifecycle tracking of critical equipment such as uniforms, body armor, and training supplies. In addition to these duties, this position handles grant writing, research, and compliance.ESSENTIAL JOB FUNCTIONS:
  • Coordinates, tracks, and reports progress on internal and external projects.
  • Develops and maintains project timelines, budgets, and deliverables.
  • Serves as liaison between department leadership, vendors, and stakeholders.
  • Oversees quartermaster functions, including procurement, distribution, and inventory of uniforms, equipment, and supplies.
  • Coordinates with vendors for sourcing and purchasing department equipment.
  • Maintains a proactive inventory and lifecycle tracking system for critical items such as body armor, ballistic shields, helmets, and training ammunition.
  • Assists with budget planning and expenditure forecasting related to equipment and grant-funded projects and Sheriffs Office budget.
  • Supports logistical needs for department training, operations, and deployments.
  • Researches, educates self on subject, writes, and submits grant applications aligned with departmental goals.
  • Ensures compliance with federal, state, and local grant regulations and reporting requirements.
  • Tracks and documents grant expenditures and prepares financial and performance reports.
  • Maintains up-to-date knowledge of available law enforcement grant opportunities.
  • Oversee the preparedness and recordkeeping of project documents and correspondence such as agreements, bid packages, cost estimates, purchase orders, resolutions, notices, reports and other documents as required to develop, lead, and complete a project
  • Responsible for ordering supplies and maintaining inventories; works closed with vendors and contractors to obtain information on price, products, services, etc
  • Regular attendance and timeliness is required

Required:
  • Associates degree in business administration, criminal justice, communications, public administration or related field. In lieu of associates degree, 3 years of related experience plus the years of experience required below.


Preferred:
  • Bachelors degree in business administration, criminal justice, communications, or related field.
SKILLS ~ EXPERIENCE:
Required:
  • 2 years of experience in a professional office or logistics setting.
  • A valid Texas CDL-Class C license and a good driving record
  • Ability to motivate team efforts to accomplish goals and lead others through diagnosing problems and providing exceptional customer service
  • Ability to estimate materials necessary to complete assignments, plan projects, prioritize work, ensure compliance with codes and standards, and oversee assignments through project completion
  • Must be able to organize, implement, and direct multiple programs, activities, and projects
  • Knowledge of purchasing and budget processes
  • Possess a good general understanding of the policies and procedures that relate to the functions of the department, and ability to interpret and apply them.
  • Ability to establish and maintain effective working relationships with County staff and the general public
  • Work without close supervision
  • Ability to communicate effectively and professionally with Elected Officials, Appointed Officials, Department Heads, contractors, vendors, County employees, and members of the public

ENVIRONMENTAL FACTORS: Works in both indoor and outdoor environments. Daily exposure to dirt, dust, fumes, odors, noise, and vibration, mechanical and chemical hazards. May work in extreme temperatures, wetness, humidity, darkness, poor-lighting, and electrical hazards.
PHYSICAL DEMAND REQUIREMENTS: Individual works indoor in a well-lighted, air-conditioned environment.
HOURS / SPECIAL CONDITIONS: This position works 8:00 a.m. to 5:00 p.m., Monday to Friday but may be required to work a flexible schedule based on the needs of the facility.
