Description
The Project Coordinator is responsible for the fiscal, administrative, and research development functions supporting large-scale, multidisciplinary research centers and programs funded by extramural agencies such as EPSCoR, NIH IDeA, DOD, HRSA, NASA, and others. This position plays a critical role in ensuring the smooth operation and strategic alignment of programmatic activities, while maintaining full compliance with institutional policies, federal regulations, and sponsor guidelines.
The incumbent will manage complex financial activities, including budget monitoring, reporting, and procurement coordination. They will also provide day-to-day programmatic support such as overseeing meetings, events, communications, and deliverables. In addition, the position supports research development efforts by identifying funding opportunities, assisting in grant proposal preparation, and fostering collaboration between faculty, research leadership, and external partners.
This role requires a detail-oriented, proactive individual with strong organizational, financial, and communication skills, and the ability to work effectively in a dynamic, team-based research environment.
Regular attendance is required to perform the functions of this position.
Incumbent will maintain a customer-oriented awareness in acknowledging and responding to needs as they occur that customer satisfaction is met at all times.
Essential Position Functions & Duties
Fiscal (50%)
- Provide financial oversight and support for extramural awards associated with large research groups and centers (e.g., EPSCoR, NIH IDeA, DOD, HRSA, NASA, PPG).
- Resolve budget-related matters including cost transfers, re-budgeting, project modifications, and carryover requests.
- Track and report expenditures; monitor fiscal activities to ensure they align with sponsor-approved budgets.
- Approve individual purchases, coordinate major equipment acquisitions, and ensure adherence to procurement policies.
- Generate and distribute monthly financial reports to core directors and project leaders, providing ongoing guidance on budget utilization and compliance.
- Ensure that all fiscal operations comply with federal regulations, sponsor terms, and institutional policies.
Programmatic (50%)
- Oversee day-to-day operations and provide administrative and programmatic coordination to support the center's strategic goals.
- Assist the PD/PI in the preparation, submission, and management of new applications, supplements, renewals, and project modifications or relinquishments.
- Coordinate and document internal meetings and center-sponsored events, including lecture series, professional development workshops, research symposia, and advisory board meetings.
- Manage submission of sponsor deliverables such as RPPRs, Just-in-Time documentation, and other required reports.
- Maintain and update program/center websites, including content related to personnel, research projects, SOPs, fee schedules, events, and pilot project solicitations.
- Track and maintain documentation of personnel time and effort to ensure compliance with institutional and sponsor requirements.
Qualifications
The applicant must meet the following:
- Bachelor's degree from an accredited university with five (5) years of professional
- experience in an administrative setting.
- Proficiency in Microsoft Office Suite.
- Excellent organizational and time management skills.
Preferred Qualifications
- Master's degree from an accredited university with three (3) years of professional experience in an administrative setting.
- Experience with institutional systems for grants and financial management (e.g.,Cayuse, InfoReady, PeopleSoft (ERP), etc.).
- Experience working with federal grants, including knowledge of 2 CFR 200 Uniform Guidance
- Proven ability to manage multiple projects, prioritize tasks, and meet deadlines with minimal supervision.
