Job Summary
We are seeking a highly organized and proactive Project Coordinator to support Project Managers (PMs), Deputy Project Managers (DPMs), Project Accountants, and project teams across large and complex projects. This role is responsible for coordinating administrative and operational project activities that help ensure projects remain organized, compliant, financially supported, and on schedule.
The Project Coordinator will play a critical role in reducing administrative burden on technical project leadership by supporting project coordination workflows, deliverable tracking, contract administration activities, billing readiness support, and day-to-day project operations. This position serves as a key liaison between project teams, subcontractors, clients, and internal departments to help maintain efficient project execution and consistent administrative processes.
This role is ideal for a detail-oriented professional who thrives in a fast-paced, deadline-driven environment and can effectively manage multiple priorities while maintaining strong communication and organizational skills.

Responsibilities:
Project Coordination & Administrative Support
Support PMs and DPMs with day-to-day project coordination and administrative activities
Support project communication and workflow coordination across multiple stakeholders and disciplines
Maintain accurate project records and assist with project setup and tracking activities
Billing Readiness & Project Financial Coordination
Track missing timesheets, labor entries, expense documentation, and billing-related action items
Coordinate collection and organization of invoice backup and supporting documentation
Assist with invoice readiness activities and administrative review of billing support documentation
Support percent-complete tracking and project status coordination activities as directed
Follow up with project teams and internal stakeholders to support timely completion of billing-related tasks
Assist Project Accountants and PMs with project financial coordination and reporting support
Support budget tracking activities and administrative coordination of project financial information
Contract Administration & Subconsultant Coordination
Prepare, route, and track subagreements, amendments, task orders, and Notices to Proceed (NTPs)
Maintain subcontract and contract tracking logs, including execution status and key administrative deadlines
Monitor Certificates of Insurance (COIs) and compliance documentation requirements
Coordinate with subcontractors and internal teams to collect required documentation and support timely contract execution
Support onboarding and setup of subcontractors and vendors
Assist with administrative coordination of subcontract amendments and change orders
Maintain organized contract files and project documentation records
Qualifications
Associate's or Bachelor's degree in Business Administration, Project Management, Accounting, or related discipline.
1-2 years of experience in project coordination, project administration, operations support, or related administrative/project support role
Experience supporting large, multi-disciplinary, or complex projects preferred
Strong organizational skills with ability to manage multiple priorities and deadlines
Strong written and verbal communication skills
Ability to work collaboratively with technical staff, accounting teams, subcontractors, and clients
Detail-oriented with strong follow-up and problem-solving abilities
Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams
Experience with project management systems, ERP systems, SharePoint, or document management platforms preferred
Preferred Experience
Experience within aviation, engineering, environmental, architecture, consulting, construction, or professional services industries
Familiarity with project billing support processes, subcontract coordination, and contract administration activities
Experience supporting project documentation workflows and deliverable tracking
Exposure to Deltek Vantage Point/Vision, Oracle, SAP, or similar project/accounting systems preferred
