The Accounting & Administrative Coordinator supports the organization's financial operations, administrative functions, and community engagement initiatives. This position plays a vital role in ensuring accurate accounting processes, efficient office operations, and consistent external and internal communications. This role requires strong attention to detail, discretion with confidential information, and the ability to manage multiple responsibilities across departments. Success in this role requires someone who thrives in a collaborative environment, enjoys wearing multiple hats, and takes pride in keeping both financial and operational processes running smoothly. Essential Duties & Responsibilities Accounting & Financial Operations Reconcile TOS balances, credit card transactions, and vendor accounts Review vendor statements for outstanding invoices and discrepancies Accurately code, process, and verify vendor invoices Obtain approvals for invoices and prepare vendor payments Process check requests and employee expense reports Post accounts payable entries and prepare journal entries as directed Monitor vendor payment schedules and discount opportunities Reconcile vendor accounts monthly and resolve discrepancies Prepare financial reports in a timely and accurate manner Collect, reconcile, and process daily departmental cash deposits Maintains corporate integrity by handling all financial and payroll information with strict confidentiality Ensures compliance with internal policies and financial controls Administrative & Operational Support Scan, file, and maintain electronic and physical financial records Maintain organization of financial documentation and reporting systems Assist with ordering office supplies and managing inventory levels Coordinate vendor services such as printer/toner management Support administrative leadership and HR with projects and requests Assist with miscellaneous tasks and departmental needs as assigned Marketing, Events & Community Engagement Maintain and update company website and social media accounts Assist with planning and execution of employee engagement events Coordinate community outreach efforts and sponsorship activities Support internal communications and promotional initiatives Qualifications High School Diploma required 3+ years of accounting, bookkeeping, or accounts payable experience preferred Experience with QuickBooks or similar accounting software Proficiency in Microsoft Office (Excel, Word) and PDF/document systems Strong attention to detail and accuracy Excellent organizational and time management skills Strong problem-solving and analytical abilities Ability to prioritize workload and meet deadlines Strong written and verbal communication skills Ability to exercise discretion and maintain confidentiality Work Environment & Expectations Fast-paced, multi-functional role requiring flexibility and adaptability Regular interaction with vendors, internal staff, and leadership Ability to manage competing deadlines across departments Compensation & Benefits Competitive salary Paid holidays and bereavement leave Full-Time Benefits Include: 401(k) Retirement Plan Health Insurance with generous employer contribution Flexible Spending Accounts Dental and Vision Insurance Employer-paid Life, Short-Term, and Long-Term Disability Insurance Paid Time Off (PTO) Birthday Holiday Company DescriptionFirst Georgia Physician Group provides both primary care and dermatology services to patients of all ages.Company DescriptionFirst Georgia Physician Group provides both primary care and dermatology services to patients of all ages.
