Position Overview

Working with the Associate Vice President of Medical Advancement, the Project Manager provides strategic and operational support toward the philanthropic activities for the Wexner Medical Center (WMC), which includes: University Hospital, the Richard M. Ross Heart Hospital, the James Cancer Hospital and its NCI-designated comprehensive cancer-center, the Dorothy M. Davis Heart and Lung Research Institute, the Neurological Institute, and medical specialty areas, as well as the advancement program for the highly ranked Ohio State University College of Medicine.

The Project Manager supports the Associate Vice President (AVP) at the Wexner Medical Center by leading internal projects and strategic initiatives from proposal through post-implementation. This role involves gathering and analyzing data to inform operational planning, ensuring projects meet quality, cost, and timeline expectations, and proactively monitoring progress to recommend adjustments. The Project Manager collaborates with cross-functional teams and vendors, using tools like Workfront and Teams to coordinate efforts and maintain transparency. They also work closely with departments such as Estate and Planned Giving, Principal Gifts, and Donor Experience to align project goals with broader fundraising and institutional priorities. Additional responsibilities include preparing reports and presentations, managing budgets, optimizing project workflows, and supporting a culture of philanthropy and continuous improvement.

This role will also provide support for a broad range of development activities including the strategy to identify and develop a robust pipeline of donors to the Wexner Medical Center, to increase pipeline activity and gift closures for major and principal level gifts, and assist in preparing annual goals and tracks progress to drive successful results and works to drives efficiency and effectiveness in the fundraising enterprise.

Duties and Responsibilities

Supports the Associate Vice President (AVP) and contributes to projects and key initiatives at the Wexner Medical Center by gathering, analyzing, and summarizing data and information to inform decision-making and operational planning; Responsible for facilitating internal projects from proposal and inception through post go live activities; Assists with strategic support and special project management that advance the work of the office and support the AVPs priorities; Ensures project results meet quality, schedule, and cost requirements; Monitors project status and recommends course corrections to schedule, resources, or cost; Project manages initiatives to keep the team on track using tools such as Workfront and Teams to share information; Coordinates with a variety of teams and vendors to ensure project management is optimized; responsible for ensuring project requests are scoped and triaged appropriately; Collaborates with partners across areas such as Estate and Planned Giving, Principal Gifts, Corporate and Foundation Relations, and Donor Experience to help drive progress toward project requirements, objectives and strategic goals that enhance Medical Center Advancement efforts; Contributes to aligning fundraising strategies with institutional priorities by helping identify prospective project opportunities and analyzing relevant data; Creates project status presentations for delivery to internal and/or external constituents or project team members; Prepares reports, offers insights for process improvements, and supports a culture of continuous improvement from project scope of work; Participates actively in culture of philanthropy projects and initiatives, tracking and reporting for the efforts; Manages a wide range of complex project management and administrative operations including implementing, coordinating, and monitoring projects, interacting with internal and external constituents, managing budgets and data, and producing, distributing, and preparing project documents and presentations.

Provides strategic and operational support to the Associate Vice President in fostering a culture of philanthropy and excellence across the organization; Assists with daily operations by identifying challenges, recommending solutions, and helping ensure efficient use of resources; Contributes to the development and implementation of best practices that promote effective management, cross-functional collaboration, and alignment with organizational goals; Works collaboratively with leaders across the Advancement organization to support the development of strategies aimed at enhancing fundraiser performance; Acts as a liaison on behalf of the AVP in meetings and communications with leaders, physicians, faculty, staff, and external stakeholders; Participates in committee work and represents the AVP as needed; Assists with initiatives such as goal setting, training for fundraiser managers, and annual planning efforts that drive fundraising success and promote continuous improvement; Maintains budget tracking and submission of requests into the Workday system; responsible for managing the data collection process for business operations, processing various business transactions, assisting business transaction audit process, and completing administrative tasks within the WMC; use of business expertise to provide data support to department operations including project management, resource planning and development, process improvement, standardization initiatives, and special projects; responsible for managing business processes to ensure operational efficiency; monitors, coordinates, researches, analyzes, and tracks the monthly/annual department expenditures; supports and coordinates work groups to facilitate internal and interdepartmental projects, staff meetings, committees, and events.

Supports the Associate Vice Presidents leadership team by contributing to discussions on fundraising programs, policies, and strategic initiatives; Assists in the coordination and implementation of fundraising strategies and provides operational support on key priorities; Takes on additional responsibilities and special projects as assigned to support the goals of the team and organization; Performs other duties as assigned.

Required Qualifications

  • Bachelors degree or equivalent combination of education/experience
  • Two (2) years of relevant experience in an Advancement organization (project coordination, alumni relations experience, events experience, outreach experience, membership program coordination, donor relations, etc.)
  • Microsoft Office experience

  • Three (3) years of customer relations, administration, and/or institutional advancement experience at a large university and/or academic medical center
  • Work experience in a large higher education organizations College of Medicine division
  • Knowledge of and experience in program planning and event management
  • Familiarity and comfort with using various digital communication and engagement platforms
  • Direct alumni relations and/or fundraising experience
  • Effective public speaking, verbal and written communications skills

The budget for this position is up to $60,000. The offer for this position will be based on internal equity and the candidate's qualifications.
