Job Description

The Hotel Project Coordinator plays a critical role in the planning, coordination, and execution of capital improvement / other projects across the hotel. Other responsibilities include management of POs, invoices, forecasting and managing the Engineering departmental P&L. This role ensures projects are delivered on time, within budget, and to brand and quality standards. The ideal candidate will have a background in project coordination, hospitality operations, or construction management, and demonstrate strong organizational and communication skills.

Responsibilities
  • Coordinate all phases of capital / other projects from initiation through completion across hotel.
  • Work closely with internal stakeholders (engineering, operations, design, procurement, and finance teams) and external partners (vendors, contractors, consultants).
  • Develop and maintain project documentation, including schedules, budgets, scopes of work, and status reports.
  • Monitor project progress and proactively address risks, delays, or budget overruns.
  • Track expenditures, process purchase orders, and support invoice approvals in alignment with financial controls.
  • Ensure all projects comply with brand standards.
  • Assist in preparing presentations and reports for senior management, ownership, and other stakeholders.
  • Conduct visits twice a day with our vendors to monitor progress, coordinate activities, and validate progress before end of each day for major projects.
  • Maintain a capital project tracker and support annual CapEx planning cycles.
  • Procure and receive materials and services using Birch Street purchasing soft ware. Generate P.O. requests, place approved orders, schedule and receive deliveries. Track expenses to stay within approved budgets. Follow up with suppliers to ensure timeliness and accuracy of billing.
  • Coordinate activities of Engineering staff through work assignments in cooperation with other departments and Engineering management. Attend recovery meeting for Engineering department and provide follow up information as needed.
  • Be familiar with Omni fire alarm procedures and other emergencies.
Qualifications
  • Able to multitask, in a fast-paced environment.
  • Must have strong computer skills.
  • Must be able to communicate effectively and efficiently.
  • Must be proficient in excel and Microsoft word.
  • Task oriented, ability to meet deadlines and schedule demands.
  • Must have a minimum of 2 years administrative assistant experience or supervisory role equivalent.
