Our client is seeking a highly organized and detail-oriented IT Project Coordinator to support a fast-paced, structured rollout of network hardware upgrades across over multi-site retail locations.
The successful candidate will serve as the liaison between external vendors, internal network SMEs, and the network Team, managing the logistics and coordination for each site installation.
This is a critical role requiring strong communication, project tracking, and coordination skills, particularly across distributed teams and multiple simultaneous store rollouts.
Key Responsibilities:
Planning & Coordination
- Coordinate with external vendors to analyze site survey data and determine equipment needs.
- Extract and interpret network infrastructure details (e.g., racks, switches, routers, cabling).
- Develop and maintain store-specific installation plans.
- Serve as the main point of contact for vendor communications and logistics.
- Track and verify delivery of IT equipment to store locations.
- Support development of communication strategies and ensure consistent messaging to internal stakeholders and store personnel.
Internal Collaboration & Execution
- Work closely with internal network SMEs to confirm hardware readiness and pre-configuration.
- Facilitate meetings between vendors and internal network teams to address technical requirements.
- Maintain and update the Bill of Materials (BOM), using Google Sheets or Excel to monitor store-by-store configurations and needs.
- Monitor hardware cost quotes and setup expenditures against budget guidelines.
- Maintain and update the master Installation Calendar and coordinate store-specific timelines.
- Collaborate with Change Communications to ensure store staff and business leaders are informed about installation timelines and expectations.
Required Qualifications
- Proven experience coordinating IT infrastructure refresh projects.
- Exceptional organizational and multitasking skills, capable of managing many store installations at different project stages.
- Excel/Google Sheets skills for tracking BOMs and installation timelines.
- Strong written and verbal communication skills with both technical and non-technical stakeholders.
- Ability to work independently and collaboratively in a hybrid work environment.
